How blackgemadvisory.com uses account details, saved rentals and enquiries.

1. What this policy covers
BlackGem uses the information described here to operate buyer accounts and shortlists, record property enquiries and respond to requests about its services.
You can browse rentals without an account. An account is needed to keep a saved shortlist. You can send an enquiry as a guest or while signed in. The portal does not collect online payments or offer document uploads. Do not submit passport numbers, payment-card details, health information or other sensitive information.
2. What the portal records
- Account details. Your name, login email, protected password record and the time of your consent. The login email identifies the account and cannot be changed on the website. You may add or change a phone or WhatsApp number and a secondary email. We do not store your readable password.
- Sessions. Session information keeps forms secure and recognises your account while signed in. It includes security tokens and an expiry time.
- Saved rentals. Your saved rental references are linked to your account so you can return to your shortlist.
- Enquiries. Your name and email are required. When signed in, your enquiry uses the name and login email on your account. A phone number, a secondary or alternative email, and a question are optional. A phone number you submit while signed in is saved to your account. An alternative email on an enquiry is stored with that enquiry and does not replace the login email. The enquiry includes any selected rental or management preference, your consent, submission time and reference number.
- Technical information. The portal processes your network address and request information to operate the service and prevent abuse. Network addresses, submitted email addresses and attempt times are held temporarily in memory to limit repeated attempts. The application does not keep access logs.
Search terms and filters can appear in page URLs and browser history. Do not enter personal information in the property search. Your browser may also remember form entries under your own autofill settings.
3. What happens when you submit
Creating an account or sending an enquiry submits your information to BlackGem. A successful enquiry is saved and the page shows a reference. Keep that reference.
BlackGem receives an internal email notification and uses the contact details you provide to follow up. The portal does not automatically send property details or a WhatsApp message to you. The reference confirms that the request was recorded, not that an adviser has already read it. BlackGem uses your login email, and any phone number or secondary email you have given, to respond to your request.
You choose whether to provide optional details. Creating an account is not required to ask about a rental. Consent for processing a request does not enrol you in unrelated marketing.
4. Why we use the information
Account and session information lets you sign in, retrieve your shortlist and use account features. Saved rental references preserve your choices. Enquiry details let BlackGem identify the rental, understand your request, contact you about it and discuss a possible engagement.
Technical information supports operation and protection against unauthorised access or abusive requests. Consent records show the choice made on the form. If you later engage BlackGem, the same information may be used to carry out the agreed work, record your instructions, administer fees and keep the records that work requires.
The forms authorise the uses described in this policy. BlackGem does not sell account or enquiry information and does not use it for third-party advertising.
7. Retention and security
Account information, saved rentals and enquiries remain after you leave the page or sign out. Clearing browser history does not delete them. Sessions expire after 14 days, and expired session records are removed as new sessions are created. You can remove rentals from your shortlist or request account closure through Contact.
BlackGem keeps information for the account, request or engagement, and for as long as a legal, security or fee record needs it. A deletion request does not require BlackGem to delete a record it must keep for one of those reasons.
Password hashing, access checks and limits on repeated sign-in attempts help protect your information. These controls do not make any system risk-free. Use a unique password and sign out on a shared device. Do not send sensitive transaction documents through the enquiry form.
8. Requests about your information
Send a request about your account or enquiry information through Contact. Start the message with "Privacy request" and include a reply address. Do not send a password. Keep the reference shown when the request is recorded.
BlackGem may ask for evidence that the request comes from the account holder before it changes or deletes anything. BlackGem keeps a record it needs for a legal, security or fee reason.
9. Adults and future changes
Accounts and property services are intended for adults. BlackGem does not seek children's information or sensitive personal information through the portal. If it is supplied inadvertently, record a removal request through Contact.
This policy was updated on 27 September 2026. A policy update applies from that date. It does not authorise a new use of existing information unless the policy says so.
